Techcollege: "The Implementation of Wired Relations was a smooth process"

At a large educational institution like Techcollege, managing GDPR and compliance demands both standardisation and coordination across departments. Wired Relations has played a key role in supporting this effort. According to GDPR Coordinator Morten Rise, the platform was easy to implement and is highly user-friendly.

Techcollege, one of the largest educational institutions in Denmark, offers a wide range of programs, including 32 different vocational education programs (EUD), a high school, and various continuing education programs. Managing an organisation with so many different activities and subject areas requires a significant effort.

"A lot is happening simultaneously at Techcollege. Our courses are very diverse and are conducted in various ways with a high degree of methodological freedom. Additionally, we have various projects and departments, including an auto repair shop, a bakery, a dental and technician lab. This presents several complex challenges, especially regarding GDPR compliance. It’s an exciting task to ensure standardisation and coordination across the institution," says Morten Rise, GDPR coordinator at Techcollege.

Since 2020, Morten Rise has been responsible for ensuring that Techcollege complies with GDPR regulations and has continuously assisted the school's employees in this process. To maintain an overview and structure in the work, he uses the Wired Relations platform daily.

From Excel chaos to systematic overview

For Morten Rise, Wired Relations has primarily enabled two things: saving time and making it easier to involve more employees in data protection and compliance work.

"Previously, I worked in a huge Excel sheet, and when I presented it to colleagues, it was clear that it wasn’t a solution that sparked enthusiasm. People looked tired just thinking about having to put data into such a massive spreadsheet," Morten Rise recalls.

With Wired Relations, employees now help create and maintain information about various systems and vendors themselves. According to Morten Rise, this has been a great help in gaining a better overview of the institution's data processing agreements and vendor relationships.

Another advantage of moving away from Excel is that tasks now remain visible until completed. In Wired Relations, tasks don’t disappear until they’re done, and it's easy to delegate tasks to employees with accompanying notes and context. "Implementing new IT systems can often be challenging, but with Wired Relations, it has been a surprisingly smooth process," he adds.

More than just compliance

Data protection is rarely something employees actively want to get involved in. However, at Techcollege, Morten Rise has noticed that colleagues are now reaching out on their own to gain access to Wired Relations.

"Our project groups use the system to manage personal data in their projects, but they've also discovered that Wired Relations provides a great overview of their projects as a whole. They see it as a tool that helps them keep track of multiple aspects of their work," Morten Rise explains.

The work on GDPR at Techcollege is an ongoing process, where the mapping of systems, vendors, and processing activities continues. And Morten Rise has a clear goal in mind: "It would be fantastic if, in a few years, we could confidently say that we have a complete overview of all our systems and that all processing activities are described and documented."
