Det Faglige Hus: "Wired Relations is a collaboration platform"

The Danish union Det Faglige Hus has swapped spreadsheets for Wired Relations, transforming collaboration across the organisation. DPO Carsten Møller now actively involves his colleagues in tasks like managing RoPAs, making teamwork more effective and streamlined.

The way Wired Relations handles RoPas works really, really well.

"We handle a whole lot of diverse data – confidential, sensitive, and classified data, as well as a lot of information from the authorities. This means we need to have a solid grip on protection of personal data".

Det Faglige Hus is a trade union and unemployment insurance fund for all types of industries. Data Protection Officer Carsten Møller is responsible for GDPR compliance and the work in Wired Relations.

Wired Relations as a collaboration tool

As the only staff member responsible for data protection, Carsten Møller needs to involve his colleagues to manage the task. 

"I involve many people, because that’s what you can do with Wired Relations – it's a collaboration platform, and that's why I've been so determined that we should use it," he explains.

Before Wired Relations was implemented, the data protection work was handled in spreadsheets. Now, employees find it much easier to work with. The platform is intuitive, standardise processes, and makes updating far simpler and faster.

"We can see many advantages with the system. The GDPR module works flawlessly and is easy for everyone, even those without expert knowledge. Our managers also have a clear overview of their processing activities, as they are responsible for updating when new systems are added, ensuring an up-to-date overview," says Carsten Møller.

Delegation, standardisation, and collaboration are the significant differences that Wired Relations brings. GDPR is the entire company’s responsibility – not just one department. Therefore, a collaboration tool is crucial, and Carsten Møller refers to Wired Relations precisely as that: A collaboration tool.

Many RoPAs

One of the major tasks for Carsten is working with Record of Processing Activities (RoPA). 

A RoPA is a document that provides an overview of the processing of personal data. At Det Faglige Hus, they manage around 90 RoPAs. However, by using Wired Relations, they have made great strides in standardising and involving people in their creation.

"The way Wired Relations handles RoPAs works really, really well, because we can lock the descriptions and response options. So even though many people have to work on it, we ensure that everyone does things the same way. My hope is that we can reduce the number of RoPAs from over 90 to 30-40 instead."

"I could tell from people's expressions that they found it overwhelming, but with these small details, it's become much easier for them to work with."

It's about rights

For Carsten Møller, it's important that both members' and employees' data are protected and that the rules for processing them are followed.

"It's about people's rights. That understanding was one of the first things I focused on as DPO. We didn't immediately purchase awareness products but created our own training, so I could go around and explain data protection to my colleagues. That this information is something we borrow, and therefore, we must process it lawfully, protect it as best as possible, and clean it up when we no longer need it. I think it's been a success because people have been interested and asked many questions afterwards".
