Like night and day.
This is how Kaare Björnsson from the internet company Altibox describes the difference between working with compliance in Excel versus working with it in Wired Relations.
Night and day.
“It's really messy in Excel. It is difficult to get an overview of what we have achieved and what we need to achieve. And it is confusing to have processing activities in the same document as risk assessments. It is easier to keep an overview with Wired Relations”.
Altibox is a Norwegian-owned company with headquarters in Stavanger, which since 2002 has supplied internet, TV and telephony. Today, they have over 900,000 customers in the Nordics, and an office in Skanderborg, which is where GDPR and IT security coordinator Kaare Björnsson is located.
Risk overview as key selling point
Altibox partnered with Wired Relations in early 2024, aiming to move beyond Excel and achieve better oversight and streamlined processes for their compliance, particularly in their GDPR efforts.
"The key selling point for us was the 1-4 system in the risk assessments. It provides a color-coded overview to quickly identify significant consequences for the registered people. With our limited resources, we can't afford to chase minor issues, like common power cuts. Wired Relations allows us to quickly gain a comprehensive overview, and it is nice that it is not just black and white like in Excel," explains Kaare Björnsson.
Together with another colleague, he forms the compliance team in Altibox Denmark, and here he uses Wired Relations on a daily basis as his right hand. In addition to the risk module, he makes great use of mapping systems, suppliers and processing activities as well as adding and delegating tasks.
Especially the latter is important. Because Björnsson's mission is to make everyone in the organisation understand the importance of compliance.
Just as important as finances
At Altibox, compliance is regarded as equally important as financial performance. However, establishing this mindset across the entire company is not without its challenges.
"Not everyone is completely on board with the security wave, so getting them to understand that it is just as important as finances is a challenge. To have an understanding that when we say something, we mean it seriously – it's not something that can wait half a year".
And here it is invaluable to be able to involve colleagues in the GRC solution and make them co-owners of the work.
"We utilise the Task Manager for both short-term and long-term tasks. When I need information about a system, instead of sending out an email myself, Wired Relations handles it for me. Additionally, if there's a task that needs to be addressed in the future, I can create it and assign it to the appropriate owner at a later time."
The context is what makes it
For Kaare Björnsson, there is no specific feature in Wired Relations that stands out. It is the connection between the different modules that makes it good. For him, this is what has been the great success: going from a messy folder to a coherent system.
Where do you hope Altibox will be with their compliance work in a few years?
"In a few years, I envision that we will have completed the initial work and established a streamlined process requiring minimal adjustments. At that point, all critical systems will be in place, needing only regular audits and maintenance."
